Year-End Activities In Sap HR/HCM

Following are few year end activities in SAP HR.

Time Management 
          1.  Preparing Holiday Calendar for next year.
          2.  Approve & Transfer all employees work time for current year .
          3.  Generate Work Schedule rule for next year
          4.  Update your Absence quotas.

Payroll
1.    Update your SAP payroll calendar
2.    Prepare posting dates for upcoming year.
3.    Certain statutory forms  needs to be generated at the year end after you run the last month payroll-India.( Annual Salary Register, Annual Pension Reports (Form 7&8),PF annual ( Form 3A & 6A),Income Tax ( Form 16 & Form 24),Form 214,ESI form, Tax  Reports.
4.    Define the new tax rates for the upcoming year, if any change.



SAP HR Data Archiving

SAP HR Data Archiving

Archiving removes data from the database that no longer needs onlineto some file system or any third party storage system.But the archived data can be fetch from archive file or  third party storage system.
Data in the database table  can only be archived using archiving objects. Tool used for SAP Data Archiving is Archive Development Kit (ADK).

Archiving Procedure
Archiving is carry out in three steps:
Step 1: Create Archive Files
Step 2: Execute Delete Program
Step 3: Store Archive Files

Steps:
Step 1: Create Archive Files (Write)
The archiving write  program creates an archive file. The data to be archived is then read from the database and is written to the archive file in the background.
Step 2: Execute Delete Program
Deletes data from the database
Step 3: Store Archive Files

Transactions  used for Data Archiving
Two transactions are
1.Archive Administration (SARA)
2.Archiving payroll  Data (PU22)

SAP LANDSCAPE

Landscape is a layout or arrangement of the servers .
In an SAP environment there are three system landscape available. A three-system landscape consists of theDevelopment Server(DEV), Quality Assurance Server(QAS) and the Production Server (PRD).

In some SAP Projects, company  might maintain pre-production server in addition.

SAP Landscape Architecture

For SAP projects we will flow the below path.
       DEVELOPMENT ---> QUALITY ----> PRE-PRODUCTION* ----> PRODUCTION
       *Optional.

Transport Requests(TRs) generated  in development server during the configuration will be moved according the  above shown landscape to have uniformity among servers.

Development Server (DEV) : In Dev Server  the consultants do the customization as per the company's requirement and save in workbench requests. The transport requests (TR) will be transported to Quality/Production server.Dev server may  have multiple clients such as  Sandbox client(Client :190),  Golden client (Client :100).
 In the initial stages of any implementation project, before sign Off of Blue print ,consultants do all the configuration/customization as per the company’s business process in a sandbox server.

Quality Assurance Server(QAS): In Quality server the team members test the customization. Quality server may have multiple clients such as  Integration Test (Client : 300), Training (Clent:700 to 710).

Production Server(PRD): Production Server is where the live data of the company is recorded. All changes/ development is done in development server will be transported to production before  GO-Live. Production Server have only one client number ranging between 200-205.It is mostly 200 in all companies.
IDES is  for education/ training purpose and is not included in the SAP landscape.

What is Transport requests (TR)?.How to move TRs  to other servers?.

Transport requests(TR) is used  to transport the developed objects/Configurations from one system to another system. TR is the only  way to move changes /development across systems/servers.
Example : Develop the objects/configuration  in Development system and move it to Quality and  later to Production system. 

Two types of transport requests: 

  1. Workbench Transport Request- records client independent objects like, Functions, reports  and  tables
  2.Customizing Transport Request- records client dependent objects like IMG configurations. 

The transaction codes for SAP Transport Management system are SE01, SE09 and SE10.

Scenario : You have created a new personnel subarea called USNA(US North America).While saving you will get a pop up “Prompt for customizing request”.
In that you will get a new transport request  no: which unique number created by the SAP .Ex UDDK920220. 

Go to transaction SE09 and SE10 , release the TR and move TR to other systems with the help of BASIS consultants.

SAP HR DATA MIGRATION

Data migration is a major and key task for a successful SAP HR implementation.
Data Migration refers to the process of transitioning data from the AS-IS environment(any non-SAP systems)  to the To-Be environment (SAP ECC HR).  In other words SAP data migration means the data transport from current systems such as Baan, JD Edwards Peoplesoft (any non-SAP systems)  into SAP  systems.

Data Migration Process 

Data migration process steps are as below
1:  Data Preparation and Analysis
Decide the strategy for data preparation. Identifies what data is needed in SAP HR application .It is based on implementation country.
2:  Data Mapping
Analysis phase is to identify the data sources that must be transported into the new system.Identifying legacy data fields to be migrated to SAP. Identification of gaps in requirements & data.
3:  Data Extraction and Conversion
Data Extraction from legacy system and Conversion to a format which is acceptable by SAP.
4:  Data Upload
Data Upload into the SAP HR database using any data migration tools such as LSMW
Group the data to be migrated  such as  core HR data, Time data, payroll relevant data.
5:  Data upload issue identification, resolution and Reload
Categories issues based on kind of error e.g. incorrect configuration, incorrect mapping, incorrect data.
Resolve data errors.
Reload data, if reload is necessary.
6:  Testing and data validation
After the data upload ,there are  number of tools  available to test & validate  data (SAP Standard Reports and SAP Database Tables). 


Infotypes for SAP HR Data Migration

Employee hr master data is maintained in different infotypes. Identify data for each infotype & migrate  those data to infotype tables (IT0000 to PA0000 table ,IT0001 to PA0001 table).Prepare excel sheet for each infotype in a specified format acceptable by SAP. Fields are identified in the upload excel  as mandatory or optional .

Core HR data are FI Data (Bank data,Cost Centers, GL Accounts, Vendors)  and Organization Structure.
OM data is necessary information to assign employees to the positions, cost center, org units etc so Org Structure is needs to be loaded before employee master data creation in PA module.

SAP Data Migration Using LSMW Tool

Legacy System Migration Workbench (LSMW) is a tool suggested by SAP that  can use for transfer data from legacy systems into SAP ECC System.
It is a very great tool available in SAP to upload large amount of data to the SAP system. Other tool recommended by SAP is eCATT (extended Computer Aided Test Tool). Through LSMW tool we   can create Master data (HR  Master data, Vendor master data, Customer master data) ,transactional data, modify existing master data etc.
